    Need odd database for volunteers of board to use.

    I am a volunteer that has no knowledge of access but think a database I make is only way our board can get our business computerized as funds are more than limited. We are very similar to a non profit organization but our state requires specific things that we must track. We have a few subcontractors at most, pay no taxes to federal or state since we related to municipality. We deal with real estate/ land that we must be able to track specific expenses to specific property each year. Some expenses must be split between 19 lots and others may just go to one. I have very little info to track or that's needed but making a functional program to do simple accounting functions is past my ability. We don't depreciate anything nor does anything transfer to the next year (expenses). I would like a way to get yrs totals for each property til it is sold . We accept bids on land and then we let realitor handle rest so money we accepted and money we actually receive is different at times and I must be able to show the difference. It doesn't come from our checking account but from the original money we accepted. Also don't have drawing ability as all funds stay for business period. We technically are even property tax free while we have property in our name. We pick a value for each property and most the time we don't get the amount we set so I need a way to track/show that without it becoming a loss because nothing is a loss to us(if that makes sense to anyone). Any amount of moneys received is all profit as we pay nothing for properties. Can someone please please help me as I have 3 yrs of business books to enter before I'm no longer the treasurer and it goes back to no one doing as law requires. I also need normal year end reports for auditor. Please anyone.

    Suggest you spend a solid week with an introductory Access tutorial book to get a grasp on basics of relational database principles, Access functionality, programming concepts, programming in Access using macros and/or VBA.

    Then identify your data entities and relationships and build tables accordingly.

    Or pay a contractor several thousands of dollars to build a db you will then have no knowledge of how to maintain/modify/enhance and keeping spending $s for those support services.

    Maybe an off-the-shelf program like QuickBooks can actually meet your needs.

    Thanks again I will definitely do that as I have started learning it. I can do this by paper easier it's just passing it to the next sole that doesn't know accounting at all. Most programs have way to much to them or won't let me specifically get tracking right. I don't want to keep trying programs til I find one I can simplify in a guide.
