    Updating data in exsisting drop down on form


    Hello there,
    My apologies for my total ignorance with access. I have inherited an established database from a former colleague and have been asked to change the data in the form/table including drop down selections to reflect managerial changes.
    Could I please ask for advice on how to do this? I don't need to change data type, just the names and names on subgroups. (I.e. in a "directorate" table, the directorates have changed names, and also the group's under those directorates in the drop-down menu).

    In Form Design View, with the Combobox (what you're calling a 'dropdown') selected, go to Properties - Data; what do you see in the Row Source Type property box? This will usually be Table/Query or Value List.

    Thank you so much for taking time to reply to my naive questions! Unfortunately I have left work so I don't have the database open. I realise now it wasn't a good day for me to post a query-many apologies. I will have a look at this first thing on Monday. I really do appreciate you taking the time to help.

    Hi again, I have managed to alter the data (I kind of started again) but iam having trouble with my combo box. I want my specialities combo box to be based on the selection made in the first combo box "directorates" but at the moment it brings up everything? Is there a way I can limit what appears?

    The concept is called "cascading comboboxes" although the exact same thing applies to Listboxes with the MultiSelect Property set to None, and the code is interchangeable. Here are a couple of links with examples:

    If you Google the term "Cascading Comboboxes" along with "MS Access" you'll probably get a gazillion hits!

    Thank you so much again! If I could be bold to ask another daft question? Once this is set up and we are using the database, can I change data in these dropdowns? We are hoping the specializes don't change their directorates again but iam nervous of having to change field options if they do. It's taken me all day today to sort out the database to the point I've got it. Now iam nervous of working with it! 😖

Please reply to this thread with any new information or opinions.
