    I think you should research Normalization and database design. There are several articles in the Database Planning and Design link in my signature. It would also be helpful if you provided a copy of your database for readers to see what you are dealing with.

    looks to me like you need to use a crosstab query

    row header - rollNo
    column header - "English Semester " & semester & " phase " & phase
    value - first English
