Use Access to schedule labs and personal?

Would an Access db be a good way to assign and track Test Events to different labs and then personal to those events, or is there a better MS program to do that with?

Say I have Events 1, 2, 3 and Labs A, B and C. I want to assign Event 1 to Lab B and then assign John, Sue, and Harry to Event 1. Drilling down further, I'd to assign those employees to certain positions in the lab. I'd like the user to be able to view a calendar style display that shows who is assigned to what position for what lab and what event it is.

Can Access handle this in a clear and easy to use manner?

    Hi

I would switch the process slightly

Each Lab can have an Event and Each Event can have 1 or More Persons

Each Person would be assigned to Positions

That process could work. I'm now trying to visualize how to make those assignments and how to display it so we can see each Lab and Event on a calendar at a glance.

    Tasks

    Hi Ajax

True I only addressed the creation of the process using Access.

I did not mention the requirement to display the data in a Calendar.

That gets a little touchy as my db is full of proprietary info that I have strip out and fill with dummy data. Right now I'm just trying to work through what all it would take to do this in Access and the best way to have Access display this to the users.

Some of the things I have to work through are:

    1. We will have up to 6 positions per Event and can have multiple Events running on the same day. I need this to allow our manager to easily assign a person to each position for each Event without assigning the same person to more than one Event per day. My thought process here is to have a combo box of the employees that can work a position and if they are assigned to an Event, they don't show up in the combo box for a different Event on that same day.

    2. How to quickly and easily show the manning for different Events simultaneously (or near simultaneously) so that the manager can see that he has all positions filled across all Events and who is working them. I'm thinking either radio buttons at the top of the calendar to switch between Events, or if it is possible to have each day in the calendar have a column for each or the Events (and rows for the positions).

    Hi

I would not have any idea how to set this up on a Calendar.

If you can make use of an Outlook style calendar db, there is one floating around. I may have a copy of it - I've never used it but have looked at it. Thus whether or not it serves your purpose (e.g. cannot book same person to a task during the same time period) I don't know, but the visual view of the calendar should at least show calendar assignments. Perhaps you could modify the db so as to not be able to double book if it doesn't do that already. Post back if you want me to look for a copy.

    Hi Micron

I tried modifying Peter Hibbs version of the Calendar with no success.

Micron, if it is different then the one Mike posted I would like to at least see it if it is not too much trouble for you to find and post it. Seeing how different ones work and looking under the covers gives me insight into how I might ultimately build what I need.

Thanks for posting this Mike, I poked around with it and we might be able to make this work with some tweaks. The biggest one I see right off the bat is where it has Employee at the top with a combo box. I'd need to change that (and it's function) to become the Event. Everything we do is event centric, so we need to see the see all the employees assigned to that Event. As it is now, it shows the Employee and an employee can not have an appointment at the same time on the same day.

    Hopefully that made sense.

Oh, I'm going on vacation until Tuesday, so I may not reply for a few days on this.

It would be the same one. The design should provide a template for making an event the entity instead of an employee. Just a guess.

    Hi

The Calendar I uploaded contains a lot of VB Code

In order not to break any of the Code I left the names of the table the same.

All you need to do is change the Label from Employee to Event for the Combobox

The Contents of tblEmployees is actually a list of your Events
